How AI Replies Work
Replying to every review takes time that busy business owners rarely have. ProfileDesk’s optional AI can help by drafting thoughtful, on-brand replies for you. The most important thing to know is this: you are always in control. You choose how much the AI does, and you can change your mind at any time.
This guide explains the three control modes so you can pick the one that suits you.
You choose your comfort level
ProfileDesk offers three modes. Think of them as a dial, from “AI helps, you decide” all the way to “AI handles it, you supervise.” You set this in your AI settings, and each mode is explained below.
Mode 1: Draft for approval (default)
This is the default mode, and it is the most cautious.
- The AI writes a suggested reply to each review.
- Nothing is posted until you read it and approve it.
- You can edit the draft, replace it entirely, or skip it.
This mode is perfect if you want the time-saving help of AI while keeping the final word on every single reply. Nothing goes public without your say-so.
Mode 2: Auto-reply to happy reviews only
This mode saves you time on the easy ones while protecting you on the tricky ones.
- Reviews rated 4 or 5 stars get a friendly AI reply posted automatically.
- Reviews rated 3 stars or below are held back and wait for your review.
Happy customers get a quick thank-you without you lifting a finger, while any review that might need a careful, personal touch always lands in your queue first.
Mode 3: Full autopilot
This mode gives the AI the most independence.
- The AI replies to all reviews automatically, across every star rating.
- You can still choose to route negative reviews to yourself first, so unhappy customers get a personal response from you before anything is posted.
Full autopilot is ideal for owners who trust the AI’s tone and want a hands-off experience, while keeping the option to personally handle sensitive situations.
The AI learns your voice
ProfileDesk’s AI does not sound like a robot or a stranger. It learns your brand voice from your own past replies, so responses feel like they came from you and your business, warm, professional, and consistent with how you already talk to customers.
The more you use it, the more naturally it matches your style. And in any mode, you can edit a reply before it goes out.
Your data stays yours
We take your privacy seriously:
- Your reviews and replies are never used to train AI models.
- Your business data is used only to help you, inside your own account.
- You can turn AI features off at any time and go back to replying manually.
Getting started with AI
- Open Settings and go to the AI section.
- Choose the mode that fits you: Draft for approval, Auto-reply to happy reviews, or Full autopilot.

You can switch modes whenever you want. Start cautious with drafts, and move to more automation as you build trust. However you use it, the AI is here to help you, not replace you.
